NWPCS helps breeders register in the parent studbook WPCS (U.K.)

Since the United Kingdom's departure from the European Union (Brexit), the Welsh Pony & Cob Society (WPCS) may no longer issue passports for Welsh ponies and cobs born and raised in the EU. However, many breeders within the EU wish to continue to register their breeding products in the parent studbook. To make this possible, WPCS has set up a new system: the Overseas Register with accompanying Overseas Registration Document (OS document, see attached photo). NWPCS is happy to support its members in applying for this official document.

What is the Overseas Registration Document?

The OS document is an official WPCS registration document for Welsh ponies and cobs born outside the UK and Northern Ireland, but within the EU. It is not a passport, but a recognized proof of parentage and registration within the WPCS studbook.

The document includes:

WPCS pedigree
UELN and microchip number
Details of breeder and owner
Identification of the animal
Information about the original organization that issued the passport
This preserves bloodlines within the parent pedigree and keeps breeders full part of the WPCS registration system.

How does requesting an OS document work?

NWPCS helps breeders step by step through the process. In outline, it works like this:

1. Apply for passport in an EU country
The animal must have an EU passport, for example with the NWPCS.

2. Scan required pages.
The breeder/owner provides clear scans of:

• Front pages including UELN, chip number, date of birth and issue date
• The zootechnical pages including extended pedigree

3. Fill out application form

The WPCS form for the Overseas Registration Document must be completed in full, including:

• Description of the pony
• Signs/signatures
• Microchip number

4. Any additional documents

If necessary, the WPCS requests:

• DNA profiles of father and/or mother
• Proof of parental ownership or lease
• Valid cover certificates
• Proof of stallion license

5. Submission to WPCS

The scans and form will be emailed to WPCS, after which the fee will be paid.

6. Monitoring and registration

A WPCS staff member checks the application. After approval:

• Will be assigned a WPCS registration code
• Is the OS document prepared, signed and officially validated

7. Receipt of the document

The document is printed, bound in a WPCS cover and mailed to the breeder.
